At Deskie, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines our practices regarding the collection, use, and disclosure of your information when you use our service.

Information We Collect

Personal Information

When you register for an account, subscribe to our services, or interact with our platform, we may collect the following personal information:

• Workspace details

Member Information

We collect information about your members as you provide it for use within your workspace, including (but not limited to):

Usage Information

We collect information about how you use Deskie, including (but not limited to):

• IP address
• Browser type
• Device type
• Operating system
• Pages visited
• Time spent on pages
• Clickstream data
• Occupancy rates
• General usage of features (e.g., how often certain features are used, occupancy rates, etc)

Cookies and Tracking Technologies

We use cookies and similar tracking technologies to monitor activity on our service and store certain information. Cookies are small data files stored on your device. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, some parts of our service may not function properly if you disable cookies.

Mobile Applications

Deskie is available as a native mobile application on iOS and Android (including white-labeled builds published under a coworking operator's own brand). The mobile app is a secure wrapper around the same web experience described above and may request the following device permissions — each strictly on an opt-in basis and only for the stated purpose. Declining a permission disables the corresponding feature but does not prevent you from using the rest of the app.

Push Notifications

We collect an anonymized push notification token (issued by Apple Push Notification service on iOS or Firebase Cloud Messaging on Android) and a device model/OS string so we can deliver booking reminders, invoice alerts, access-request updates, and similar workspace notifications. Tokens are tied to your Deskie account and can be revoked by uninstalling the app or disabling notifications in your device settings.

Location (Background)

If your workspace uses Kisi access control and you opt in to hand-wave unlock, we request the "Allow all the time" location permission. Location is used exclusively on-device to detect proximity to Kisi door readers via Bluetooth Low Energy ranging — your GPS coordinates are never transmitted to Deskie's servers or stored. You can disable hand-wave unlock at any time in the app's settings, and you can revoke the permission entirely from your device's system settings.

Bluetooth

When hand-wave unlock is enabled, the app scans for nearby Kisi Bluetooth readers so it can trigger a door unlock as you approach. Bluetooth activity is handled on-device by the Kisi SDK; Deskie does not receive or store Bluetooth scan results.

NFC

The app reads NFC tags that encode a Deskie deep link so you can tap your phone to a labeled surface (e.g. a meeting-room door tag or printer QR) and go directly to the relevant page. NFC is not used for identification, tracking, or any network transmission.

Camera

If you choose to scan a QR code (for example to check into a resource or pay an invoice) or attach a photo to a request, the app requests camera access. Images are processed on-device and only uploaded when you explicitly confirm the action.

Photo Library

You may choose to attach an image from your photo library to a message, profile, or support request. We only access the specific image you select.

Microphone

Certain workspace features may offer in-browser video or audio calls. The microphone permission is requested only at the moment such a feature is initiated.

Battery Optimization Exemption (Android)

If you enable hand-wave unlock, we prompt you to mark Deskie as "Unrestricted" in Android battery settings so the Kisi Bluetooth service can run reliably. This is a system-level preference you grant directly to the OS; Deskie does not track or collect battery-related data.

How We Use Your Information

We use the information we collect for the following purposes:

• To provide, operate, and maintain our services
• To improve, personalize, and expand our services
• To understand and analyze how you use our services
• To develop new products, services, features, and functionality
• To process transactions and send related information, including purchase confirmations and invoices
• To communicate with you, either directly or through one of our partners, including for customer service, to provide you with updates and other information relating to the service, and for marketing and promotional purposes
• To process your requests, manage your account, and provide customer support
• To monitor and analyze usage of features, occupancy rates, and general booking usage for our own analytics
• To detect, prevent, and address technical issues and security threats
• To comply with legal obligations and protect our rights and interests

Sharing Your Information

We may share your personal information in the following circumstances:

• With service providers and business partners who perform services on our (or your) behalf — see the Third-Party Services section below for the specific processors we use.
• In connection with a business transfer, such as a merger, acquisition, or sale of assets
• To comply with legal obligations, enforce our terms and conditions, and protect our rights and safety
• With your consent or at your direction

We do not sell your personal information, and we do not share it with advertisers or data brokers. The mobile app contains no third-party advertising SDKs.

Third-Party Services

Deskie relies on the following sub-processors to operate the service. Each is bound by its own published privacy policy and, where applicable, a data processing agreement with Deskie.

• Stripe — payment processing and card/ACH storage. We never store raw card numbers ourselves.
• Amazon Web Services (S3) — file storage for uploaded attachments and mail.
• SendGrid (Twilio) — transactional email delivery.
• Twilio — SMS delivery for notifications and 2FA.
• Apple Push Notification service and Google Firebase Cloud Messaging — delivery of push notifications to the iOS and Android apps respectively. We send anonymized tokens and notification payloads; Apple and Google deliver them to your device.
• Expo Application Services — push-token issuance and over-the-air mobile app updates.
• Kisi — door access control. If your workspace uses Kisi, we pass a per-member credential to the on-device Kisi SDK so you can unlock doors with NFC tap or hand-wave.
• Ubiquiti UniFi — guest Wi-Fi voucher issuance (workspaces that have opted into network integration).

Data Retention

We retain your personal information for as long as your account is active, plus the period necessary to comply with our legal, accounting, and tax obligations (typically seven years for billing records). You can request earlier deletion at any time — see the Your Data Protection Rights section below. Push tokens are deleted when you uninstall the mobile app or disable notifications.

Children's Privacy

Deskie is a business product intended for use by adults operating or working from coworking spaces. We do not knowingly collect personal information from children under 13 (or under 16 in the European Economic Area). If you believe a child has provided us personal information, please contact us and we will delete it promptly.

Data Security

We implement appropriate technical and organizational measures to protect the personal information we collect and process. However, please note that no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Your Data Protection Rights

Depending on your location, you may have the following data protection rights:

• The right to access – You have the right to request copies of your personal data.
• The right to rectification – You have the right to request that we correct any information you believe is inaccurate or complete information you believe is incomplete.
• The right to erasure – You have the right to request that we erase your personal data, under certain conditions.
• The right to restrict processing – You have the right to request that we restrict the processing of your personal data, under certain conditions.
• The right to object to processing – You have the right to object to our processing of your personal data, under certain conditions.
• The right to data portability – You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.
