Overview
The Files page is a shared store for documents and other files that belong to your workspace. You can upload any kind of file, share it with specific members of your workspace, and create a public link that lets anyone download the file without signing in. Every file is tied to the workspace it was uploaded into, so files never appear across different workspaces.
Open the Files page from the main navigation. You need at least a member-level role in the workspace to view the page.
Who can see which files
What you see on the Files page depends on your workspace role.
- Owners and admins see every file in the workspace.
- Members see only the files they uploaded themselves plus any files that have been shared directly with them.
The person who uploaded a file is shown as its owner throughout the page, including in the file details panel.
Uploading files
To add files, click Upload File in the top right of the page. A panel opens where you can either drag files onto the drop area or click Select files to choose them from your device. You can add several files at once, and you can click Add more to keep adding to the list before you upload. Each file in the list shows its name and size, and you can remove any file from the list before uploading with the small remove button next to it.
When you are ready, click Upload. Each selected file is uploaded in turn, and you get a confirmation once they finish. If a particular file fails, the others still upload and you are told which one did not succeed.
What you can upload
- Any file type is accepted. Unlike profile photos or other image uploads, the Files area does not restrict you to images.
- Maximum size is 50MB per file. A file larger than this is rejected with a message telling you the size limit.
Files are stored securely in your workspace's file storage and are not made public simply by uploading them. A file only becomes reachable from outside Deskie if you deliberately create a public share link for it, described below.
Finding and organizing files
The Files page lists your files with the file name, the date it was uploaded, its size, and the avatar of the person who uploaded it. Each file has an icon that reflects its type, so images, video, audio, PDFs, Word documents, spreadsheets, presentations, and archives are easy to tell apart at a glance.
Search
Use the Search files box at the top of the page to filter the list by file name. The list updates as you type and matches any part of the name.
Sorting
Use the Sort menu to order the list by Name, Date, or Size. Choosing the option you are already sorting by flips the direction between ascending and descending, shown by an up or down arrow next to the current option.
Viewing file details
Click a file to open its details. Image files open in a preview. Other files open a details view that shows the file type, size, owner, and upload date, along with a list of the members it has been shared with. From this view you can Download the file, and if you are the owner you can also open the Share options.
Downloading files
You can download any file you have access to. Use the Download option from a file's row menu or from its details view. Deskie generates a temporary, secure download link that is valid for one hour and that prompts your browser to save the file under its original name. You can download a file if you are its owner or if it has been shared with you.
Sharing files with members
Only the owner of a file can share it. Open the file and choose Share to open the sharing panel. There you can search your workspace's active members by name and add them to the list of people who should have access. Each person you add is granted view access, which lets them see and download the file from their own Files page.
The sharing panel always shows you as the owner and lists everyone currently selected under People with access. Remove someone by clicking the remove button next to their name. When you click Save, the list you have set becomes the complete set of people the file is shared with. In other words, saving replaces the previous sharing list rather than adding to it, so if you remove someone and save, their access is removed.
Public share links
In addition to sharing with named members, you can create a public link that lets anyone download the file, even people who do not have a Deskie account. This is useful for sending a document to a prospect, a vendor, or anyone outside your workspace.
Creating a link
Open the file's Share panel and, under Share via link, click Create Share Link. Deskie generates the link, displays it, and copies it to your clipboard automatically. The panel reminds you that anyone with this link can download the file. A file keeps the same link once it has been created, so opening the panel again shows the existing link rather than making a new one. You can copy it again at any time with the copy button.
Creating, copying, and revoking a public link is done by the file's owner from the Share panel.
How the link works
The link points to your workspace's address and carries a unique token that acts as the key to the file. The token itself is the access control: no sign-in is required, and anyone who has the link can use it. When someone opens the link, Deskie checks the token and then redirects them to a short-lived, secure download that starts saving the file under its original name. Because the actual download address is temporary and generated on demand, the underlying file is never left openly exposed.
Revoking a link
To turn a public link off, open the file's Share panel and click Revoke next to the link. Once revoked, the link stops working and anyone who tries to use it is told the file was not found or the link has been revoked. You can create a new link later if you need to share the file publicly again.
Deleting files
To delete a file, use the Delete option in the file's row menu. Deleting a file also removes its sharing records, so any members it was shared with lose access and any public link stops working. Take care when deleting, since the action cannot be undone. A file's owner can delete it from the file's row menu.
