Waitlist

Collect interest from prospective members through a public waitlist link, capture each submission as a CRM lead, and get notified by email and SMS when someone signs up.

The waitlist lets you collect interest from prospective members before space is available. Visitors fill out a short public form, every submission is saved as a waitlist entry, and Deskie automatically sends a confirmation to the person and alerts to your team. Each submission also becomes a lead in your CRM pipeline, so you follow up and track conversion in one place.

The waitlist is a beta feature. It works today, but expect it to keep evolving.

How the waitlist works

There are two sides to the waitlist:

  • The public form, where prospects join the list. No account or sign-in is required.
  • The admin Waitlist page, where your team reviews entries and follows up.

When someone joins, Deskie does several things at once: it stores a waitlist entry, creates or matches a CRM lead with the source set to "waitlist", records what the person is interested in, sends a confirmation email to the prospect (if they gave an email), and notifies your team by email and SMS.

The public waitlist form

The public form asks for:

  • Name (required).
  • Email (optional).
  • Phone (optional).
  • What they are interested in (required): Private Office, Dedicated Desk, Flex Membership, or Other. If they choose Other, a field appears for them to describe what they are looking for.
  • Anything else (optional notes), for things like timeline, budget, or specific requirements.

Only the name is strictly required to submit. Email and phone are both optional, but providing an email is what lets Deskie send the prospect a confirmation message.

After a successful submission the visitor sees a confirmation screen and can add another entry if they want.

The Waitlist Spotlight

Below the form, the public page can show a "Waitlist Spotlight": a list of specific spaces a prospect can select to express interest. Only assets you have enabled for the waitlist appear here (see Enabling spaces for the waitlist). Each spotlight card shows the space name and, when available, its rate per month and size in square feet. When neither is available, the card shows "Contact for details".

When a visitor selects a space, the form preselects the matching category, fills in a note recording which space they are interested in, and attaches that specific asset to the entry. Private spaces map to Private Office, dedicated spaces map to Dedicated Desk, and flex spaces map to Flex Membership. Other space types are captured under Other.

Enabling spaces for the waitlist

Each asset controls whether it appears on your public waitlist. On the asset's edit page there is a Waitlist card with these settings:

  • Show on Public Waitlist: a toggle that, when on, displays this space on your public waitlist page so anyone can find it and express interest. When off, the space is not listed in the spotlight.
  • Waitlist Rate: an optional rate for waitlist prospects for this space. Leave it blank to show the standard rate instead.

The Waitlist card also shows a per-space waitlist link you can copy. That link opens the public waitlist form with this specific space already selected, which is useful for sharing one space directly.

Whenever Deskie needs to show a price for a waitlist space, it uses the waitlist rate if one is set, and otherwise falls back to the standard rate.

Sharing your waitlist link

At the top of the admin Waitlist page there is a share link banner. Click it to copy your workspace's public waitlist link to the clipboard. The link points to your workspace subdomain followed by the public waitlist path, so prospects land directly on your form.

You can share the general waitlist link, or use the per-space link from an asset's Waitlist card to send someone straight to a specific space.

If you publish a multi-page public website, a space's detail page can include a "Join the Waitlist" button that opens the waitlist form in a panel without leaving the page, with that space already selected.

What happens when someone joins

Each submission creates a single waitlist entry tied to your workspace, with the person's details, their interest category, any "Other" description, optional notes, and the specific space they selected if any.

In the same step, Deskie creates or matches a CRM lead from the submission. The lead's source is recorded as "waitlist" and it is linked back to the waitlist entry. Deskie also adds an interest record describing what the person wants, using the specific space name when one was selected, or the interest category otherwise. If a rate is available for the selected space, that rate is used as the lead's estimated value.

Notifications

When a waitlist entry is submitted, Deskie sends up to three kinds of notifications. They are sent in the background and never block the submission, so the prospect always sees a confirmation even if a message fails to send.

  • Confirmation email to the prospect. If the person provided an email, they receive a "You're on the Waitlist" message that thanks them and notes what they expressed interest in, including the space name and price when applicable.
  • Email to your team. Deskie emails your workspace owners with a "New Waitlist Signup" summary showing the name, email, phone, interest, the specific space and rate if selected, and any notes the prospect left.
  • SMS to your team. Deskie also sends a text alert summarizing the signup to your workspace admins and owners who have a phone number on file and SMS notifications turned on. If no eligible numbers are available, no SMS is sent.

Reviewing entries on the admin Waitlist page

The Waitlist page lists every active entry for your workspace. For each entry you can see the name, email, phone, what they are interested in (including the specific space and its rate when one was selected), their CRM stage, and how long ago they joined.

You can search by name and filter by interest category or CRM stage. Clicking a row opens the linked CRM lead in a detail panel, with the waitlist details and the prospect's own notes shown alongside it, plus a quick link to open the full CRM. From there you work the prospect exactly like any other lead, including changing the stage and adding notes through the CRM.

Who can access the waitlist

The public form is open to anyone with the link and needs no sign-in. On the admin side, viewing waitlist entries requires the manage members permission, so it is limited to your staff. Follow-up actions such as changing a lead's stage or adding notes happen in the CRM lead panel that opens from each entry. See roles and permissions for how access is assigned.
